QuickSOP ("we", "our", or "us") operates the QuickSOP web application at quicksop.com and the QuickSOP Chrome browser extension (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
By using QuickSOP, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Account Information
When you create an account, we collect your name, email address, and authentication credentials. If you sign up through a third-party provider (such as Google), we receive your name and email from that provider.
1.2 Workflow Documentation Data (Chrome Extension)
When you actively start documenting a workflow using the QuickSOP Chrome extension, we collect the following data for each step you perform:
- Screenshots — A JPEG image (80% quality) of the visible browser tab, taken at the moment you click an element during workflow documentation. Sensitive fields (passwords, credit cards, SSN) are automatically blurred before capture.
- Page URL — The URL of the page where the click occurred.
- Element Information — The CSS selector and visible text content (truncated to 200 characters) of the element you clicked.
- Click Coordinates — The X and Y position of your click on the page.
- Form Field Values — Non-sensitive form field values you entered (truncated to 500 characters). Passwords, credit card numbers, SSNs, and other sensitive fields are explicitly excluded.
- Navigation Events — Page transitions (from/to URLs) that occur during workflow documentation.
1.3 Data We Do NOT Collect
We want to be clear about what we do not collect:
- Passwords or authentication credentials of any kind
- Credit card numbers, CVV codes, or financial information
- Social Security Numbers or government-issued IDs
- Browsing history — We do not track your browsing. Data is only collected during an active documentation session that you explicitly started.
- Page content — We do not scrape or store the full content of any webpage. Only the specific element you click is captured.
- Data from other extensions or browser internals
1.4 Usage Data
We automatically collect certain information when you access the Service, including your IP address, browser type, operating system, referring URLs, and pages visited within our application. This data is used for analytics and service improvement.
1.5 Payment Information
If you subscribe to a paid plan, your payment is processed by our third-party payment processor. We do not store your full credit card number, CVV, or bank account details on our servers. We may receive limited billing information such as the last four digits of your card, card brand, and billing address for invoice purposes.
2. How We Use Your Information
We use collected information to:
- Provide, maintain, and improve the Service
- Process your documented workflows into structured Standard Operating Procedures (SOPs)
- Authenticate your account and manage your subscription
- Enhance SOP content using AI-powered text processing (performed on our servers)
- Send transactional emails (account verification, password resets, billing receipts)
- Respond to your support requests
- Detect and prevent fraud, abuse, or security incidents
- Analyze usage patterns to improve the Service (aggregated, non-personal)
3. How We Protect Your Data
We implement industry-standard security measures including:
- All data transmitted between the extension, your browser, and our servers is encrypted using TLS 1.2 or higher (HTTPS only)
- Sensitive form fields are detected and excluded using a comprehensive blocklist of selectors
- Sensitive fields visible on screen are blurred in screenshots before transmission
- Authentication tokens are stored securely in Chrome's extension storage
- Workflow data is stored temporarily in Chrome's session storage and cleared after successful upload
- Server-side data is stored in encrypted databases with access controls
- We conduct regular security reviews of our codebase and infrastructure
4. Data Storage and Retention
4.1 Where Data Is Stored

4.2 Data Retention
SOP data is retained as long as your account is active. When you delete an SOP, it is permanently removed from our servers within 30 days. When you delete your account, all associated data is permanently deleted within 30 days.
5. Data Sharing and Disclosure
We do not sell, rent, or trade your personal information. We may share data only in these circumstances:
- Within your organization — If you use QuickSOP on a team or enterprise plan, SOPs you create may be visible to other members of your organization based on the permissions you or your admin configure.
- Service providers — We use third-party services for hosting, payment processing, email delivery, and AI text processing. These providers are contractually obligated to protect your data and may only use it to provide services to us.
- Legal requirements — We may disclose your information if required by law, court order, or government request, or to protect the rights, property, or safety of QuickSOP, our users, or the public.
- Business transfers — In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you before your data becomes subject to a different privacy policy.
We do not share your data with advertisers or use it for targeted advertising.
6. AI Processing
QuickSOP uses artificial intelligence to enhance your SOP content — improving step titles, descriptions, and formatting. This processing occurs on our servers. Your SOP content may be sent to AI service providers (such as OpenAI or Anthropic) for text enhancement. These providers process data according to their business data processing agreements and do not use your content for training their models.
7. Chrome Extension Specific Disclosures
The QuickSOP Chrome extension:
- Only collects data when you explicitly click "Start" to begin documenting — never during passive browsing
- Displays a visible indicator (blue bar) whenever documentation is active
- Requires host permissions to function on any website because SOPs can involve any web-based tool or application
- Does not modify page content — it only reads element information when you click during a documentation session
- Does not inject advertisements or track your browsing behavior
- Does not communicate with any server other than quicksop.com
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access — Request a copy of the personal data we hold about you
- Correction — Request correction of inaccurate personal data
- Deletion — Request deletion of your personal data and account
- Data portability — Request your data in a structured, machine-readable format
- Objection — Object to certain processing of your personal data
- Withdraw consent — Withdraw consent at any time where processing is based on consent

9. Cookies
Our web application uses essential cookies for authentication and session management. We do not use advertising cookies or third-party tracking cookies. We may use analytics cookies (such as privacy-friendly analytics) to understand how the Service is used, in aggregated and anonymized form.
10. International Data Transfers
Your information may be transferred to and maintained on servers located outside your country of residence. By using the Service, you consent to such transfers. We ensure appropriate safeguards are in place for international data transfers in compliance with applicable data protection laws.
11. Children's Privacy
QuickSOP is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children. If we discover that a child under 16 has provided us with personal information, we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. For significant changes, we may also notify you by email. Your continued use of the Service after changes constitutes acceptance of the updated policy.
